Our system offers the entire workflow for travel procurement from requisition to approval to travel policy compliant online booking to invoice generation, expense management, reimbursement and final settlement and covers all aspects of travel from domestic and international air/hotel/car/rail/guesthouse bookings to assistance on visas/passport/insurance/foreign exchange/expense mgmt. etc.
By automating, centralizing, consolidating and streamlining all aspects of employee travel the system results in substantial savings on the total travel spend. We back this by giving real-time MIS reports of all activity displayed by region/department/division/location etc. Depending on current practices these savings can often be about 30% and beyond. By allowing employees to make informed decisions, it removes anxiety and uncertainty and increases efficiency, productivity and convenience.
Ours is a secure site and only employees of corporates who have signed up with us can have access to our services. In return for a travel management fee, we handle all issues relating to the development, maintenance, back-end, technical support and fulfillment of the travel mgmt services and the help-desk to handle employee queries, bookings and cancellations.
Our web-based system has a real-time system for employee trip request, approval and on-line booking. Our technology allows us to define the entire organization structure along with details about divisions, departments, employees, designations, locations, travel policies, hierarchy levels, authorization/approval paths, preferred vendors etc. There are modules which allow us to define who is allowed to travel, on whose approval, under what conditions, in which class, at what fares, include corporate deal codes etc.
Employees are encouraged to use the self-booking module to raise travel requests and make their own bookings and there are options to make bookings both for self as well as colleagues. The system ensures appropriate travel policy gets enforced.
Data on options displayed, fares available and seat position at the time of booking is automatically saved and can be retrieved and displayed whenever needed for audit purposes and to study travel policy violations, buyer behavior and spending trends. In case of any corporate deals with airlines, the code allotted gets automatically embedded in each booking. So your corporate fares and volume based incentives from the airlines continue. Being entirely web based, our application can be integrated with the client’s intranet and back-office ERP and accounting systems too.
Ideally an interface needs to be developed between the corporate’s HRMS system and the Quest2travel server for the smooth flow of incremental employee data both of employees joining, leaving and being transferred within an organization. The other handshake occurs when transactional data relating to the travel bookings and expense claims is relayed to the corporate’s financial accounting system. If the corporate has an intranet based system a travel link together with an interface for single sign-on too is highly recommended.
